Office Policies

Our normal office hours are Monday through Thursday 8:00 a.m. to 5:15 p.m. and 8:00 a.m. to 5:00 p.m. on Fridays. Appointment times varying slightly for each provider, each day. The office closes for lunch between 12:00 and 1:00 daily. Phone calls to our office outside these times are routed to our answering system.

To guarantee access for our patients, all services are provided by appointment only. If you have to reschedule your appointment, please do so at least twenty-four hours prior. Missed appointments and those rescheduled on the same day may incur a charge of $50 for medical visit and $75 for cosmetic appointments.

If you have an after-hours emergency that you feel requires your provider, the office’s answering system will forward your message to the provider on call.  True emergencies should always be addressed by calling 911 or by going directly to a hospital emergency department. Please note that prescription refill requests, scheduling, etc. are not considered emergencies.

Messages/Prescriptions

Most calls are answered in real time during office hours; however workflow and staffing may require you to leave a message on our voicemail. Should that occur, please leave enough information including but not limited to your name, date of birth, contact information, and reason for your call so that our staff can answer your needs with their return call. Patient phone calls received prior to 3:00 p.m. are returned the same day. Calls received after 3:00 p.m. may be returned the next business day.

Renewal of an existing prescription should be handled by the patient by calling his or her pharmacy directly.  Any requests received by our office for prescription refills will be sent electronically to the chosen pharmacy. Patients will only be contacted if a problem is encountered. Those wanting confirmation should check with their pharmacy. Requests received by the office will be handled during regular office hours within a 48 hour turnaround period. Mail-order prescriptions will be handled within 3 to 5 business days. Some insurance plans require prior authorization which can take several days to process after submission of paperwork by our office. Most medications need your provider to closely monitor its effectiveness. Therefore patients who have not been seen regularly may necessitate an appointment prior to refills.

Fees and Payments

We make every effort to keep down the cost of your medical care. Your insurance policy is a contract between you and your insurance company. It is your responsibility to keep the billing department up to date on your active insurance coverage, your current address and phone number. Without this information the billing department cannot properly process your claims. We cannot guarantee the payment of your claim. For more information regarding our Billing Policies, click here.
